• Self-reported career information provided in response to our form questions

We do not collect payment card details directly. Payments are processed securely by Stripe, who operate under their own privacy policy.

2. Why We Collect Your Data

We process your data to:

• Provide the CV optimisation service you have purchased — legal basis: contract performance

• Deliver your completed CV and report — legal basis: contract performance

• Communicate with you about your order — legal basis: contract performance

• Improve our service quality and understand our client base — legal basis: legitimate interests

We do not sell your data to third parties or use it for unsolicited marketing without your explicit consent.

3. How We Process Your Data

Your data is processed through the following systems and services:

• JotForm — used to collect your form responses securely

• Make.com — our automation platform that routes your data through our pipeline

• Anthropic Claude API — an AI service used to analyse your CV information and generate your optimised CV and report. Your data is sent to Anthropic's API for this purpose. Anthropic's privacy policy applies to this processing.

• Google Drive and Gmail — used to store and deliver your completed documents

• Notion — used internally to track service delivery and maintain client records

• Stripe — used to process payments securely

All third-party services are GDPR-compliant and operate under their own privacy policies.

4. Cookies & Analytics

This website may use cookies or analytics tools such as Google Analytics to help us understand how visitors use the site. You can disable cookies in your browser settings if you prefer.

We retain your personal data — including your CV, form responses, and completed documents — for 12 months following delivery of your completed CV and report. After this period, all personal data is permanently deleted from our systems.

You may request permanent deletion of your data at any time by emailing help@dearhiringmanager.careers with the subject line "Data Deletion Request" and your full name and email address. We will confirm deletion within 5 business days.

8. Sharing Your Data

We may share data with the trusted third-party providers listed in Section 3, only where necessary to deliver our services. These providers must also comply with data protection laws. We may also disclose information if required by law.

9. Data Security

We use appropriate technical and organisational measures to protect your data. However, no online transmission or storage system can be guaranteed as 100% secure.

Some of the tools we use are hosted outside the UK/EEA. These providers are required to use safeguards that comply with UK/EU data protection laws.
